First Planning Meeting Notes
for
Holderness 250th Anniversary in 2011
April 6th, 2009-HoldernssTown Hall Conference Room-6:30 PM

The meeting began at about 6:40 PM with the following people present: Tink and Fran Taylor, Jackie and Mark Marden, Wendy Werner, Kathy Wieliczko, Debby and Willy Holland, Bill Webb, Ed Ford, Martha Macomber, Walter Johnson, Georgene and Rick Fabian.

Georgene (the convener of the group) began the meeting with introductions and distributing an agenda with possible activities, a 2011summer calendar and a copy of the 200th Anniversary schedule from 1961.

There were a number of comments concerning possibilities and people to help:
  • Dick Cawley knows the Fire Department history concerning involvement in the 200th celebration
  • We need to get someone from the Fire Department and Little Church Theatre to help
  • Debbie noted that we can get a 24 hour wine and beer license at a reasonable cost and run an event in the Historical Society parking lot
  • Wendy said that Amanda Loud is interested in doing a “Fun Run” from the library up Shepard Hill to the site of the first Holderness Library
  • Events for the Pilote land might be a scavenger hunt, a story walk, and a nature walk led by Science Center staff
  • Debbie suggested a horse show at Willoughby Ridge Farm; she says there is an equestrian team at the high school
  • If the group wants money from the town, a proposal must be submitted to the selectmen by the end of 2009
  • There was a general consensus that funding should be a combination of town funds and privately raised dollars to show wide support of the function
  • A Street Dance was suggested for Friday night and a barbecue and concert (perhaps part of the regular Recreation department summer Series) at the Historical Society site was suggested for Saturday night.  (It was then suggested that tying up the Historical site on Saturday night would put an undue burden on street parking on Walter’s Basins’ busiest night of the week.)
  • Doing a street dance in the Little Church Theatre parking lot with parking at the Science Center was discussed as a good possibility to assist down decongestion town on a weekend evening
  • Several possible suppliers of the dinner or Street dance food were Walter’s Basin, Alex Ray, Golden Pond Country Store, Beiderman’s , the Masons and Rockywold
  • There should be involvement in the planning process from the town merchants and the Chamber of Commerce
  • The committee could consider taking a percentage of revenue from each participant to fund the overall program costs
  • Once the main events are framed, perhaps one on each of the three weekend days, it was suggested that each of the other organizations be invited to plan its own event around the central ones, perhaps even during the week leading up to the main events
  • Perhaps fireworks would make a good grand finale.  Tim Fisher was suggested as someone who might coordinate and fund them.
  • Walter suggested that sub committees be formed to handle main events
  • Walter offered the town’s website for publicity
  • It was suggested that the children’s activities Plymouth holds on its Smith Bridge day would be good ones to study
Dates:
It was decided that Friday-Sunday August 5th-7th, 2011 would be the anniversary celebration dates

The name of the event will be HOLDERNESS 250TH

        Street Parade-Martha Macomber
        Boat Parade- Peter Francesco (if he agrees)
        Water Show- Jeff Keefer (if he agrees)

Tasks:
Willie Holland:
Call Marine Patrol and Fish & Game relative to permitting for boat parade and water show
Call Tim Fisher about fireworks
Call Peter Francesco about heading up Boat Parade Committee
Call Jeff Keefer about heading up the Water Show Committee

Debbie Holland:
        Call High School Equestrian Team re horse show possibility
        Call Little Church Theatre about using their location
Call Fire Department about its involvement

Ed Ford
        Call Police Department about its involvement    

Next meeting:
Monday, June 1st, 2009 at 6:30 PM upstairs in Town Hall
