Meeting Minutes

Long Haul Farm Proposal
The meeting began by a discussion with the Lenentines. Lenny and Laurie from Long Haul Farm would like more exposure for their business. They wondered if they could offer plants for sale at the Library’s plant sale in the spring time. They also wondered if they could set up a farmer’s cart on the corner selling produce and plants on library property.
The library did not have a plant sale last year. The Library Friends no longer has the membership needed to run a plant sale. The Trustees decided that they could not allow a continuous business enterprise on the Library’s corner, but would be glad to entertain a special event that would draw people to the library. Such an event could be a market day in July. The Chamber of Commerce or a Library Friends group would have to be in charge of such an event. The Trustees, as elected officials, cannot fund raise.
The Lenentines would also like to offer educational programs through the library. Such programs could include how to prune bushes, and how a seed grows (for young children). The trustees encouraged them to develop such programs with the library.

The minutes from the previous two meetings were accepted as presented.
Treasure’s Report
Two computer service bills that totaled $1444.95 (services received in December 2005) were received in January 2006 and should have been paid from the 2005 budget. Because the Town books were closed, the bills were paid instead by money from the 2006 budget.

Library Director’s Report
A new vacuum cleaner is to be purchased shortly. The cleaning person hired by the Town has resigned. Suzanne and Lydia will be cleaning the building as needed until the Town hires another cleaning person.

Nomination of Officers
Amanda Loud resigned from the Board of Trustees on January 24, 2006. The trustees acknowledged her resignation with a letter of gratitude for her years of service.
Larry Webster and Sandy Ray will now serve as co chair persons for the board of trustees. Larry will continue to be the Treasurer, and Kay will continue to be the secretary.
Amanda’s resignation occurred after the period of filing for candidacy for the March elections. Thus a new trustee will need to be appointed by the Town of Holderness Select Board.
Proposed Library Expansion
The location of the main entrance and the handicap entrance were discussed. The location of the circulation desk, and office space were discussed. It has been proposed that all the books and collections be on one floor with the meeting rooms in the basement.
Short meetings will be needed for the Trustees to meet with Dave Driscoll to discuss building plans.
Larry will be the main liaison with Dave Driscoll and Rick Holt.
Library Newsletter
There is a need for the library to improve its communication with the community. It was suggested that the purchase of new books and their titles be announced in the local newspaper at least once a month. Updating the pictures and information on the website needs to be attended to. Suzanne will update the patron email address list. She will also look into what formats other libraries are using for communicating with their patrons.
Other
Frank Yerkes has an estimate for surveying the library plots and elevations in preparation for building design. Larry will discuss this with him.
Planting will need to be done around the flag pole, around the new sign, and in the planters on both sides of the main entrance. The trustees and library director will plan this as spring approaches.
Date of Next Meeting
The next regular meeting will be 9:00 AM, April 5, 2006 at the library.
The trustees will meet with Dave Driscoll on March 17 at 10:00 AM for a short meeting to discuss building plans.
