Meeting Minutes
In Attendance:
Trustees: Kay Hanson, Susan Beeson, Sandy Ray, Larry Webster, Todd Elgin
Library Director: Suzanne Peoples
Building committee meeting:
The trustees met with Rick Holt and David Driscoll to discuss the drawings for the proposed library expansion project. The expansion plans have to include a men’s and a women’s ADA compliant bathrooms as well as an elevator in order to conform to building codes for new construction.
The trustees opted to use the existing stairway rather than add a stairwell to the building’s exterior. The outside entrance to the new wing will have an arched entryway that will repeat the arch of the building’s main entry foyer. Varying ceiling heights were discussed. A section of roof will be lowered to make the addition visually interesting. An eyebrow will be added to the roof on the parking lot side of the building. A kitchenette for the downstairs meeting room will be included in the buildings plan. The areas on both sides of the chimney will be open (rather than walled) on the main floor.
Rick and Dave will have a new set of drawings for our next meeting.
A visit with the Monument Committee
The trustees then met with Pat and Ed Ford of the monument committee to discuss the placement of a new Veterans of War Memorial. After viewing the computer mock ups of the sight plan, the meeting convened outside. The meeting participants then viewed models of the proposed monument at various locations. The site of the present monument structure is in the path of the sidewalk for the proposed library expansion. The Fords would like to have the new monument placed on the library grounds and visible from both Rt. 3 and Rt. 113. Rick Holt was asked to draw up a visual proposal that would help the monument committee determine the new monument’s location, a location that would be compatible with the library expansion project.
Regular monthly meeting
The minutes of the previous meeting were approved
The financial report was accepted as presented. So far $7,319.11 have been spent year to date. Todd will look into establishing a new Quick Books report format for our next meeting.
Director’s Report
The Baker & Taylor book company is slow to deliver books that have been ordered, but the monetary savings is worth their patronage.
Suzanne and Lydia Miller will be attending a State Library workshop on computers in the near future.
Old Business
The living-renewable resource display needs to have some eye-catching posters and further information in it to grab the attention of our patrons. Suzanne will look into this.
Trustee meeting minutes were posted on the Town website. Kay will make sure Suzanne gets a copy for the library’s website.
The Friends of the Library group needs to be revitalized. A list of library patrons that might be interested in becoming a friend will be brain stormed at our next meeting.
A thank you is extended to Susan and Larry for a successful workday. The library grounds look terrific.
New Business
Scrooge and Marley, an association for library directors meets every other month. This is a chance for library directors to network. Suzanne will try to attend a meeting in the near future.
Addressing a vision for our library:
Are the strategic plan and mission statement for our library being met? Each trustee will come up with a list of areas that need change or growth.
Suggested areas for consideration include: collection, programming, public relations, displays, customer service, and community outreach.
Other
The library sign needs to be straightened. Marvel Signs, the maker of the signs will be asked to come fix this.
The State Library Trustees Association is issuing new and updated trustee handbooks. They will be available at the end of June for $5 a copy. Each trustee should have his or her own copy.
Next meeting will be on Friday, June 23, 2006 at the Holderness Library.
The building committee will meet at 9:00 AM followed by the regular library business meeting.
