Meeting Minutes

Minutes of the April 15 meeting were accepted as presented.
Copier
An anonymous donor will pay for the new copier in its entirety. This is a $3,300 donation. Publicity of this generous donation will go out in the newspaper and on the website. The copier is being purchased through Conway Office Products. Four years of repairs and toner are included in the price. In the long run this costs less than leasing.
Library Director's Report
The library has received a $250 grant for the summer reading program. This will pay for the cost of one performer.
A new over due policy presented by Victoria was approved by the Trustees. Victoria also rewrote the library's non-resident policy. This was also approved by the Trustees.
A new flag is flying from the flag pole. It is thought that this was donated by Ed Ford. Victoria will find out if it was Ed who donated it and thank him.
The library will be open on Wednesday evenings starting in June.
Computer classes will be offered on Monday Tuesday and Thursday evenings. Victoria will re-advertise these classes.
The community access TV station has spots for the local libraries. Victoria will look into getting more extensive coverage for the Holderness Library.
The library has computer paraphernalia that was for equipment the library no longer owns. Sandra Perkins will be asked to sell this paraphernalia on E-Bay. The library will give half of the proceeds from the sale to Sandra to compensate her for the time it will take her to do this.
Memorial Committee Report
Harry Decker of the memorial committee has informed Amanda that the new war memorial will be delivered to the library lawn around the first of October and be ready for Veterans Day. The new memorial with be 6'2" high, 11' 4" long and 18" deep. A foundation slab will be poured after Labor Day.
The Library will hold an Open House on Veterans Day when the new memorial is installed.
Carol will be the library trustee liaison to the memorial committee (replacing Sandy Ray).
The flag pole may get moved to be behind the memorial. The trustees were concerned that trees may need to be cut and would like to be advised of this.
Fundraising
The Library would like to establish a fundraising committee to help meet the budgetary goal of $12,000. In the ensuing discussion it was asked: is it legal for trustees to fund raise? Kathy is willing to chair a letter of appeal committee. It is the intent that such a letter will help the Holderness community feel support for the library. This fundraising effort may need to be underwritten by the Library Friends. Carol will be looking into the legality of trustees fundraising issues when she attends the NH Trustees Association Conference on May 14.
Budget
Submitting for checks to pay for library expenses will now go through Wendy Huff, the bookkeeper of the Town's books. Victoria and Wendy will collaborate on this making sure that all submissions are properly accounted for. Larry as Treasurer of Holderness Library Trustees will still be signing all of the checks. This change of policy is to help align the library books with the Town's.
Other
All the trustees are invited to attend the reception for artist, Alma Grand, whose work is displayed in the library this spring.
Amanda will arrange for Susan Murphy of Resource Associates to meet with the trustees in the near future. This will be a follow up meeting for the critical goals and strategic planning that is already in place.
The file cabinet for trustees that had been donated by Sandy Ray will be placed in the furnace room storage area.
Non Public Session
The board went into Non Public Session to discuss personnel issues.
Next meeting
The next regular meeting of the Holderness Library Trustees will be on Tuesday, May 20, 2008 at the Holderness Library.
