The minutes from the June 16 meeting were approved. The board reviewed an email from (Walter Johnson Town Manager) stating that, “the cost of maintaining the library grounds comes from the government building maintenance budget and only includes the [library] lawn.” Our June minutes had said that Skip Thompson (mower of the lawn) was being paid with cemetery funds. This correction is so noted.
The treasurer’s report was accepted for audit.
Library Director’s Report
The Wednesday evening library hours have been successfully attended. Victoria proposed that the library increase the hours that the library is opened from the current 28 hours to 36 hours. The Board approved this change. The new hours will be in effect by Monday, July 28, 2008. This will give Victoria time to advertise the change. Modifications will need to be made to the outside sign so that these new hours can be posted.
Origami classes will be offered from 1 to 4 pm on Friday, July 18.
The author of the Turkey Hill Farm book will present a talk at the library.
The Story Time has been well attended. Ten attended the first story time and 27 attended the second time. Steve Blunt will be performing at the next story time.
The new outside grotto is being well used by patrons, especially wifi users.
During the time span between May 1 and June 30, the library gained 47 new patrons.
The Library now has hot water.
Chair person’s report
The trustees have now made three referrals for Sue Murphy’s Executive Strategic Planning. This partially fulfills our contract with her for her services.
There are some historical relics in the library that need to be donated to the Holderness Historical Society. One item is on permanent loan. Scott King will be asked to contact the family descendants to see if this relic may be passed on to the Historical Society.
The cleaning schedule and getting library trash to the dump is currently being done by volunteer help.
Facility Use Policy
The following policy was established by the Board:
Only non profit organizations may use the library space. Any use of the Holderness Library facility, inside or outside, including by not for profit organization must have trustee approval and must sign a liability waver.
Veterans Memorial
The new memorial will have a flag pole displaying the USA flag, the POW flag and the NH State flag. Pavers will be installed on the grounds around the memorial. The trustees would like to see pavers subtle in color, blending with the library building and the new memorial.
The Holderness Library Building Team then met with the board of trustees. Building plans had been put on hold in December until we had a new library director and had “the house in order”.
Bruce Whittemore summed up progress so far. A WOW committee brained stormed ways to make the library a more exciting facility. Through a survey it was determined that people want the library to remain in its current location. Wish lists of what the library needs and could be like were compiled. Barry Gaw made some concept drawings, incorporating the lists into his design.
A library expert, knowledgeable in interior designs for libraries needs to be consulted.
The trustees need to let the building team know what they think of the interior configuration of space in Barry Gaw’s drawings.
Goals with a time line need to be established.
A presentation or display needs to be made at the August 2, 2008 Summer Town Meeting. Victoria will look into this.
Having a plan with elevations in place would help stimulate monetary donations to the project.
The Building Team will meet on Tuesday, August 26, 2008, at 4:00 PM, at the Holderness Library.
The Holderness Library Trustees will meet jointly with the building team on September 9, 2008 at 4:00 PM at the Holderness Library.
Other
The library’s centennial celebration needs to be discussed at our next meeting.
Fundraising ideas and a fundraising letter need to be discussed further at the next meeting.
The new hot water system is now in place. The library water has been tested and is potable… though the water is cloudy and has an odor.
The library policies manual needs upgrading. This will be looked at at the next meeting.

The next Holderness Library Trustee meeting will be on August 19, 2008, at 4:00 PM at the Holderness Library.
