Library Trustee Meeting Minutes
August 19, 2008

Meeting began at 4:00 p.m.

Members Present: Larry Webster, Amanda Loud, Kathy Wielizcko, Carol Snelling
                        Also present: Victoria Lang

The minutes of the July meeting were not available at the meeting.  They will be presented for approval at the Sept. meeting.

Treasurer’s Report:  The budget looks good.  We have received $6941.02 in donations.

Chair’s Report: Amanda Loud reported that all historical items have been transferred to the Holderness Historical Society.

Memorial Committee Report: Carol Snelling reported that the memorial will not be installed until Veterans’ Day 2009 because there are still names without paperwork.

New Business:

The board voted unanimously to accept the generous donation of a tree from Kevin McBournie.  The board asked that the tree be planted on the parking lot side of the building so as not to block light on the 113 side.  Larry will head this.

Library Director’s Report:

        Kathy prepared library donation envelopes and put them on the desk Aug. 8.  We have received $120 in donations from them as well as $100 for an additional outdoor chair.
        Records show a marked increase in patron usage and check outs May 1- July 30 -08 vs. the same time last year. 2008: 2238 patrons through the door/ 2528 check outs
                                 2007:  1651 patrons through the door/ 2017 check outs
        The results of the water test from Seacost Analytical Services show that the library water is potable.  Since the new water heater, Victoria reported that the foul odor has also gone away.
        Victoria gave the board a tour of the library and her proposed rearrangement of the collection which will result in a better usage of space.  The trustees will aid in the move this fall.  Because Victoria would like to try utilizing the existing space better, the trustees asked that the building committee postpone their Aug. meeting and join the board for the scheduled joint meeting next month for a walk-through.
        On Aug. 28, Victoria will have an informal meeting with her friend, Wendy Beckworth, who is on the NH Committee on Disability.  They will casually discuss ways the library can become code-compliant as a historical building.

Kathy reported that a fundraising letter will go out in Oct. asking for amounts of all levels.
Kathy reviewed the many policies of the library and has a list of what we have and do not have. The board will address these needs in future meetings.

Facility Use Policy
        The board voted to include the phrase “NHLTA and NHSL welcome” in the Holderness Library facility use policy.  The trustees reviewed several policies from other libraries.  A final draft will be presented by Kathy at the Sept. meeting.

The board postponed discussion on the Centennial Celebration until the next meeting.

Next meeting: Sept. 30, 2008, at 4:00 p.m. at the library.
