The minutes of the November 7th meeting were accepted as presented.
Budget Report
52% of the 18 month budget has been spent.
Building Access
The finalized version of the Building Access and Maintenance Policy was accepted and signed by the Trustees.
The library has been rekeyed. Too many of the old keys were unaccounted for.
The Parking Lot
The library parking area is shared with Walter’s Basin. Half of the lot is owned by the library. Finding parking is difficult for both library patrons and for customers of Walter’s Basin. This has become a town problem. It was thought that a parking meeting should be held that would include the downtown businesses, the safety department (police and fire departments), and others involved to deal with the parking problems of the Holderness downtown area.
Ray Mason of Mason Enterprise will be our new plow person. He will come on demand as well as on a per storm basis.
Capital improvements have been paid for from the maintenance budget line. The Library Trustees voted to ask the Town for a reimbursement of $1000 from the Library Capital Reserve Fund for incurred maintenance expenses. The vote was unanimous. This will ensure that there is enough in the maintenance budget line to pay for the plowing and other maintenance costs.
Library Director’s Report
The Town had bought into the pre buying plan for the Town’s fuel oil winter needs. The pre bought oil had been for $4.43 per gallon. After negotiating with Fuller Oil Company, the Town will be paying $2.99 a gallon starting in December 2008. This will considerably help keep costs down in the library’s budget.
The new computer maintenance service is working out well. A system for computer updates and cleanups is now in place. The administrative server needed replacement. A new one has been purchased. The backup file computer is also in need of replacement. The trustees approved the purchase of a new backup file computer.
Library programs are being well attended. The recent knitting program with Kathy Goldner, author of Knitting Out Loud was well attended. The Santa Sale made over $1000 for the library. Forty two people attended the tree lighting/carol sing. The book group had a very successful evening with their discussion of The Turkey Farm:

Karen Henchey has been hired to clean the library, starting in January. She will be coming for one hour once a week. The library trash will still be taken to the dump by volunteer help.
The cost of fixing the leak in the roof came well under Victoria’s ballpark estimate. It is hoped that a new roof can be installed through donated funds in the coming spring.
The weeding of the library collection is in progress. Once this has been completed, Victoria plans to house the children’s collection in the downstairs room.
Other
The budget hearing for the Library 2009 budget will be on Monday, December 15. A packet of statistics that reflect the library’s growth in circulation, patronage, computer usage, etc. will be presented to the Select Board.
New trustee candidates need to file for office in January. There will be two terms up for election this year.

The next Holderness Library Board of Trustees meeting will be on January 6, 2009, at 5:00 PM at the Holderness Library.
