Holderness Recreation Board Meeting
March 7, 2011

1) Minutes of January 24, 2011 accepted.

2) Budget:

3) Scholarship Policy:  The Board reviewed the 2nd Draft of our Scholarship Policy and made a few more suggestions, re-wording of some paragraphs and some policy changes.  Wendy will make the changes and corrections and go forward with presenting the final copy to the Board of Selectmen at their next meeting.

4) Beach Use:  It was brought to our attention that someone has been plowing Dirt Road and the parking lot at the Town Beach.  The road has been plowed all the way to the Lake.  From our recollection we have never plowed the road and it has been our intention that only foot (snowshoe and ski) traffic be permitted on the road and from the Beach to the Lake.  Along with the plowing there is evidence of snowmobile use.  The No Motorized Vehicle signs that were originally installed as the result of excessive snowmobile use in the winter of 2007 are now missing.  Wendy has tried to locate the signs and it appears that they have been taken down and stolen.  She has ordered new ones and Kevin Coburn will install them as soon as they arrive.  Chief Patridge has been notified about unauthorized plowing and may have a lead as to who has been responsible.

After considerable discussion about what to do, it was agreed upon that in the near future representatives from the Burleigh Land Corp, SLCS, Holderness Selectmen, Holderness Recreation and the Beeson and Knox families will meet to draft a policy about winter use of the Beach and Dirt Road.

In the meantime, Wendy will meet with Walter Johnson, Chief Patridge, and Kevin Coburn to determine what should be down in the immediate future.  The Board is greatly concerned about the amount of erosion what will result as a result of the plowing, deeper frost penetration and the now access to the road during mud season.

Looking forward to the summer, Wendy will begin advertising for Beach Attendants.

5) Other –
        a) Programs – have been going well except Wendy had to cancel Archery due to a weak sign-up.  There may be some latent interest and she will try to reschedule.  Yoga has been going well and even a second edition called Family Yoga has been added.  Hockey had a good season.
        b) Holderness 250th.  Biff has been attending the planning meetings of the Holderness 250th.  At this point Holderness Recreation has not committed to any portion since we have our Summer Escape program running at the same time.  It is likely that the Summer Escape program will take a role in one of the events.
        c) Summer Escape – Wendy reported that at this point all our staff from 2010 will be returning.  Due to make-up days for students at HCS it appears that Summer Escape will not be able to open until June 27th.  Now that this date has been established Wendy will be finalizing the schedule.  
        d) Ashland Town Administrator – Wendy mentioned that she has been asked if she would be willing to meet with the Ashland Town Administrator regarding an interview to see how Holderness Recreation funds its programs, etc.  The meeting is planned this next week in Wendy’s office.
